If you are always in a hurry to make a decision, ask yourself why
Making decisions too quickly can make you more prone to short-sighted or superficial solutions, but if you spend too much time deciding, you may miss the opportunity. How do you achieve balance?
Try to keep a sense of urgency, but also have time to think. Think about what kind of trap mode is forcing you to make decisions too fast?
Maybe you are eager to end an important meeting, just to be able to enter the next meeting. Perhaps you are always on multi-tasking mode, and not paying enough attention to what is really important. Or, when you should say "No", you always say "Yes".
Such situations are your decision trap mode against timing control. In fact, you do not have that luxury to make such hasty decision.
If you have found your trap decision mode, you can start improvement of those habits to make you frustrated. Put yourself in a rising state of emergency, but also keep you must have time to think.
For example, in meetings, you'll notice that the content of the speech is good enough to make decisions, rather than just focusing on the timing of the meeting.
With this practice, gradually you will be able to make decisions that will not be missed and are well thought out.

How to terminate the endless meeting?
Many of us have experienced endless meetings. Instead of looking up at the clock, it's better to take action to control the meeting time.
  1. Prepare for the meeting. If you indicate the subject and time allocation of the discussion on the meeting notice, you can make the meeting more orderly.
  2. Set time limit. If the meeting time is delayed or exceed the scheduled the meeting time, you can remind everyone to pay attention you. For example, your meeting start later than your reservation, you can say, "I know we are already late, but I have to meet a client at 11:00."
  3. Pay attention to the situation of the meeting. If you feel that the meeting is out of control, or that it's already feeling boring, you may have the same feeling. You can raise your concerns about the meeting in progress and see if others have the same idea. You can say: "I'm not sure if such a discussion can be reached. Can we reach a consensus? And we can discuss other topics for a short time. Have you noticed it? "

Arrange the meeting in the four steps
Admit it. When we didn't plan the meeting in advance, the time of the meeting was mostly wasted. Please use the following methods to make your meeting time and content consistent with the purpose of the meeting.
  1. Proposed purpose of the meeting. What must you and the attendees do?
  2. Decide on the topic for discussion. Once the meeting begins, it is very difficult for us to change the conversation in the meeting in the middle atmosphere. So, as far as possible before the meeting, each subject should be defined what is included. If necessary, hold a meeting to discuss other topics.
  3. Decide on the duration of the meeting. Reasonable estimate of the length of time required for each conference topic can reserve some buffer time. When we start the conference, we announce the purpose and agenda of the conference, and remind each topic to prepare for the time.
  4. Handle meeting explosion. If the meeting intense discussion, will be more than that set by the meeting, don't rush to discuss at the end. You can ask the participants to agree, also held meeting to discuss other topics not.

Managing meetings with a timer
Most people can't stand long meetings. So, why not use a timer to manage your meetings? It's like using a watch on a basketball.
How? At the beginning of the meeting, you can explain how you plan to schedule each topic for discussion. For example, this is an annual budget review meeting and 10 investment schemes have to be reviewed. You can say, "We will allocate 10 minutes for each investment plan to be discussed." Briefers can take three minutes to brief and then leave seven minutes for discussion. "If there are any items that require more time to discuss, coordinate them in advance.
Then, use a mobile phone code timer to time. When the time was up, the alarm rang to remind the speaker that it was time to stop. While it may be annoying to do so, it is fair and effective. Each speaker will be careful to control his speaking time, and others will increase their attention.

Don't let PowerPoint briefings disrupt your meetings
Many meetings are full of boring details, and the lengthy PowerPoint briefing is the easiest to get drowsy.
At the next meeting, use the following strategies to avoid making PowerPoint briefings boring and unproductive:
  1. Limit meeting time. If a meeting lasts more than 90 minutes, people begin to lose focus. Try to limit the length of your meeting to no more than 90 minutes in an hour.
  2. Send conference materials before the meeting. All conference information files should be sent out to the attendees one night or the day before the meeting and attached with a key summary.
  3. Skip PowerPoint briefings whenever possible. Most PowerPoint briefings are about materials that most people already know, or they should already have a basic understanding. Therefore, please ask the briefer to give only 5 to 10 minutes of presentation, explain the reasons for the meeting and the issues to be solved, and then spend most of your meeting time on practical discussions.

Have a valuable meeting
Employees in offices often complain about having to attend meaningless meetings. However, meetings are indeed an important means of implementation.
To avoid wasting your time, please take the following steps to ensure that your meeting is worth attending:
  1. Keep small meetings. As far as possible, invite only those who can directly help achieve the objectives of the meeting to attend.
  2. Send out the agenda in advance. If you don't have an agenda, you certainly don't know what to do and how to do it, so you're wasting your time.
  3. Pay attention to meeting time. Don't overestimate the efficiency of team meetings. Use the shortest possible time to achieve the purpose of the meeting. If there is not enough time for discussion at the meeting, don't hold you back. Arrange another meeting to continue the discussion.

What should be avoided when scheduling meetings
It's rather troublesome to arrange a meeting attended by 15 people, especially to finalize the time when several important leaders can attend the meeting.
To avoid getting yourself into trouble, pay attention to the following situations that should be avoided:
  1. Identifying those people is the most important role in convening this meeting. All meetings involve key people, such as your customers, senior partners, etc. Find out which time period is the most convenient time for these VIP people to attend the meeting.
  2. Do not send a blank request for attendance. If your request for attendance is, "What time will it be convenient for you to attend the meeting in the next few weeks?" Such a request for attendance is too vague. You should directly specify a few time periods, ask the other party to choose directly, or ask the other party to tell him the exact time he is convenient to attend.
  3. Don't commit to meeting time too early. Don't tell you when to prepare for the meeting before you have decided that several key people can be present together. You absolutely don't want to let your boss know if one of the key people can't show up and cause him more trouble.
